ProDesk Apps ("ProDesk", "we", "us" or "our") builds professional-grade software for traders and the self-employed. This Privacy Policy explains how we collect, use, disclose and protect personal information when you visit prodeskapps.com or use our products, including RiskDesk, OptionsDesk, HedgeDesk and CashDesk.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using our website or software, you agree to the practices described in this policy.

ProDesk Apps is a software provider, not a broker, dealer or financial adviser. Our products are analytical and educational tools. We do not execute trades, hold client funds, or provide personal financial advice — and we do not collect brokerage credentials or process orders on your behalf.

CashDesk: your books stay on your Mac

CashDesk works differently from our other products, so it is described separately. It is a bookkeeping and tax application for the self-employed, and the information it handles — your bank transactions, your receipts, your income — is more sensitive than anything else on this site.

We operate no server for CashDesk and we receive none of your figures. There is no CashDesk account to create, nothing to sign in to, and no copy of your ledger anywhere but your own Mac. If your Mac is lost and you have no backup, we cannot recover your data, because we never had it.

What CashDesk stores, and where

  • Your ledger — the statements you import, the transactions in them, how each is classified, your invoices, assets, mileage and tax answers. Held in the application's own container on your Mac.
  • Receipt photographs — the images you add, stored beside the ledger on your Mac.
  • Backups — created only when you ask, to a location you choose. A backup is a plain file: keep it somewhere you are comfortable keeping financial records.

iCloud receipt inbox

If you switch it on, CashDesk watches a CashDesk → Receipt Inbox folder in your own iCloud Drive so a receipt photographed on your phone reaches your Mac. Those files move between your devices through your Apple account under Apple's terms. They do not pass through us, and CashDesk has no server to send them to. The feature is off until you turn it on, and filed receipts are moved to a "Filed" folder rather than deleted.

Optional AI features, and what they send

CashDesk can use a third-party AI provider to explain figures it has already worked out. This is off by default and stays off until you add your own API key. When you do turn it on and ask for a briefing, the figures needed for that request — which can include your business income, expenses and profit — are sent to the provider you chose, under that provider's terms, using your own account with them. We are not a party to those requests and never see them. Your key is held in your Mac's Keychain and is never sent to us. Remove the key and the feature switches off.

The one thing CashDesk fetches on its own

CashDesk periodically downloads updated tax constants — rates, thresholds and dates — from prodeskapps.com. The request is one-way and carries none of your information. Our server logs the request as it would any other web request, as described under Information we collect.

Purchases

Subscriptions and one-off purchases are handled by Apple through the App Store. We never see your payment details. Apple tells us only aggregate sales information, which does not identify you.

CashDesk prepares tax figures and paperwork. It does not lodge, file or submit anything to any tax authority, and it has no connection to the ATO, HMRC, the IRS, the CRA or the Income Tax Department. It is not tax advice.

Information we collect

We aim to collect only what we need to operate our website, deliver our software and support our users. Depending on how you interact with us, this may include:

Information you provide

  • Contact details — such as your name and email address when you contact us, request support, or subscribe to updates.
  • Account information — where a product requires an account, the details needed to create and manage it.
  • Correspondence — the content of messages you send us, including support enquiries and feedback.

Information collected automatically

  • Usage and device data — such as pages viewed, referring pages, browser type, device type, approximate location (derived from IP address) and interaction events, used to understand and improve our website and products.
  • Log data — standard server logs, including IP address and timestamps, retained for security and diagnostics.

Trading and analysis data

Our products let you enter data to model and analyse trades — for example instruments, position sizes, price levels and journal notes. Where a product stores this data on your own device, we do not have access to it. Where a product syncs data to enable a feature, we process it only to provide that feature. This is your analytical input; we do not sell it or use it to make trading decisions on your behalf.

How we use information

We use personal information to:

  • Provide, maintain and improve our website and software;
  • Respond to your enquiries and provide customer support;
  • Send you service messages and, where you have opted in, product updates;
  • Understand how our products are used so we can make them better;
  • Maintain the security and integrity of our systems; and
  • Comply with our legal obligations.

Handling and consent

We collect personal information by lawful and fair means, and generally directly from you. We use and disclose it only for the purposes for which it was collected, for a related purpose you would reasonably expect, or where you have consented or the law permits or requires it.

Where we rely on your consent — for example to send marketing communications — you may withdraw that consent at any time by using the unsubscribe link in our emails or by contacting us.

How we share information

We do not sell your personal information. We may share it with:

  • Service providers — trusted third parties who help us operate (for example hosting, analytics, email delivery and customer support), who may only use it to provide services to us;
  • Professional advisers — such as legal and accounting advisers, where necessary;
  • Legal and safety — where required by law, regulation or legal process, or to protect the rights, property or safety of ProDesk, our users or others; and
  • Business transfers — in connection with a merger, acquisition or sale of assets, subject to this policy.

Some of our service providers may be located, or store data, outside Australia. Where personal information is disclosed overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

Cookies and analytics

Our website may use cookies and similar technologies to remember your preferences, keep the site secure and understand how it is used. You can control cookies through your browser settings; disabling them may affect how parts of the site work.

We may use privacy-conscious analytics to measure aggregate usage. These tools help us understand trends and improve the site — not to identify you personally.

Advertising on our free tools

The free calculators at prodeskapps.com/tools are supported by advertising. We use Google AdSense to serve those ads, which means Google and its partners act as third-party vendors on those pages.

Third-party vendors, including Google, use cookies and similar identifiers to serve ads based on your prior visits to our website or other websites. Google's use of advertising cookies enables it and its partners to serve ads to you based on your visit to our sites and/or other sites on the internet.

You can opt out of personalised advertising by visiting Google Ads Settings, or opt out of a third-party vendor's use of cookies for personalised advertising at aboutads.info/choices. Opting out does not remove ads; it makes them less relevant to you.

Where required by law — including in the European Economic Area, the United Kingdom and Switzerland — we present a consent message before any advertising or analytics cookies are set, and you can change or withdraw that consent at any time using the link in that message.

The calculators themselves collect nothing. Every free tool on this site runs entirely in your browser. The figures you type are never transmitted to us, to Google, or to anyone else, are not stored, and are discarded when you close the page. Advertising identifiers relate to your browsing, not to the values you enter into a calculator.

Email updates

If you ask to hear about one of our products — a launch, release notes or new features — we keep a record of that request so we can act on it and so we can show it was genuinely made.

For each subscription we store your email address, which product list you asked to join, which page you signed up from, the date and time, and the IP address and browser user-agent string recorded at the moment you subscribed. Those last two exist specifically as proof of opt-in: anti-spam law in Australia and elsewhere expects us to be able to demonstrate that a person actually asked to be emailed, and we would rather hold that evidence than rely on our word. They are not used to profile you, and they are separate from the ordinary server logs described above.

We use double opt-in. When you subscribe we send a single email asking you to confirm, and until you click that link we send you nothing else. If you never confirm, the unconfirmed record simply sits there unused.

Every email we send carries a one-click unsubscribe link, which takes effect immediately and needs no reply from us. When you unsubscribe we keep a record that you did so — that record is what stops you being added back to the same list by a later import. Lists are per product, so leaving one does not affect any other.

We do not sell, rent or share subscriber email addresses. To see what we hold about you, correct it, or have it deleted outright rather than suppressed, email hello@prodeskapps.com.

How we protect information

We take reasonable technical and organisational measures to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

Data retention

We keep personal information only for as long as necessary to fulfil the purposes described in this policy, to comply with our legal obligations, resolve disputes and enforce our agreements. When information is no longer needed, we take reasonable steps to destroy or de-identify it.

Your rights

Subject to applicable law, you may:

  • Request access to the personal information we hold about you;
  • Ask us to correct information that is inaccurate, out of date or incomplete;
  • Opt out of marketing communications at any time; and
  • Make a complaint about how we have handled your personal information.

To exercise any of these rights, contact us using the details below. We will respond within a reasonable period. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Children

Our website and products are intended for adults and are not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us and we will take appropriate steps to delete it.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes to our practices or legal requirements. When we do, we will revise the "Last updated" date above. Material changes will be communicated where appropriate. Your continued use of our website or software after an update constitutes acceptance of the revised policy.
